Privacy Policy
Last updated: October 7, 2026
Administrators can pause collection and set automatic retention. Saved research questions expire according to that setting, or remain until removed if no expiry is set. Removing their domain or workspace also permanently removes the saved research questions. A content-free removal receipt is retained while the domain exists to prevent a retried submission from restoring a deleted question. For question removal requests, email privacy@provencite.com.
1. Introduction
Proven Cite ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI visibility and citation readiness platform (the "Service").
By accessing or using the Service, you agree to this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access the Service.
2. Information We Collect
Account Information
When you create a workspace, we collect the business name, domain URL, industry, and any competitor domains you provide. This information is necessary to perform our content analysis service.
Content Analysis Data
When you use the Service, we fetch and analyze publicly available web content from the domains you submit. This includes page titles, headings, body text, and other publicly accessible content. We store analysis results, scores, and generated recommendations in our database.
Usage Data
We automatically collect certain information when you access the Service, including your browser type, operating system, access times, and pages viewed. This information is collected through standard web server logs and is used to improve the Service.
Optional ProvenBot Question Research
When question collection is enabled, you may opt in to saving future questions you type into ProvenBot for Proven Cite question research. Consent is optional and unchecked by default; chat works without it. We save the question text and its time, not your name, email, or IP address as part of this research record. Common email addresses, phone numbers, and API key patterns are masked, but masking may not remove every sensitive detail, so do not include private information. Preset quick questions and past conversations are excluded. Questions are available only in the configured Proven Cite workspace, not unrelated customer workspaces. You can stop future collection by unchecking the option. To request removal of a saved question, contact privacy@provencite.com and identify the question and approximate time.

4. Data Storage and Security
Your data is stored in secure PostgreSQL databases with encrypted connections. We implement appropriate technical and organizational security measures to protect your information against unauthorized access, alteration, disclosure, or destruction.
We employ SSRF protection to prevent our content fetching system from accessing private networks, internal services, or metadata endpoints. URL validation ensures only public HTTP/HTTPS URLs are analyzed.
5. Data Sharing
We do not sell, trade, or otherwise transfer your personal information to third parties. We may share aggregated, non-personally identifiable information for analytics and research purposes.
We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
6. Data Retention
We retain your workspace data and analysis results for as long as your account is active or as needed to provide the Service. When you delete your workspace, we will delete your data within 30 days, except where we are required to retain it by law.
